Bentota River Adventure Boat Tour (“we”, “us” or “our”) operates this website and provides boat tour booking and inquiry services in Bentota, Sri Lanka. This policy explains what personal information we collect through this website, how we use it and the choices you have.

Information you provide

When you send a booking request, we collect your name, email address, telephone number, country, preferred tour date and time, number of guests, tour and boat preferences, pickup area and any message you include. For an inquiry, we collect your name and email address, your message and your telephone number if you choose to provide it. We also record that you acknowledged the privacy notice and the time your request was received.

Please do not include payment card details or sensitive personal information in a message. We do not take online payments or collect payment card details through these forms.

How we use your information

We use these details to respond to questions, check availability, arrange a tour and pickup, communicate booking changes, provide a reference, prevent duplicate or abusive submissions and keep the records needed to manage requests. We do not use booking or inquiry details for unrelated marketing.

Where information is stored and who receives it

Booking requests and inquiries are saved as private records in this website’s WordPress database and are available to authorized site administrators. We send transactional emails to you and the business team using the website’s email service. Email providers involved in sending or receiving those messages may process the message and its contact details.

If the business has enabled owner WhatsApp alerts, an inquiry reference number is sent to the business’s WhatsApp recipient through Meta’s WhatsApp Business API. The alert does not include your message or contact details. No WhatsApp alert is sent to guests.

This website loads Google Translate to provide the language buttons. If you use translation, Google may receive technical information such as your IP address, browser details and the page being translated, and may use cookies or similar storage for its service. The Contact & Booking page embeds a Google Map, which can also cause your browser to connect to Google when that page loads. Google’s handling of that information is described in Google’s own privacy policy. The website also links to WhatsApp and, where configured, social media; those services receive information when you choose to open or use them.

Our website host and technical service providers may process information, including server logs, to operate, secure and maintain the site. These providers may process information in countries other than your own.

How long we keep information

We keep booking and inquiry records in the website dashboard while they are needed to respond, manage tours, handle follow-up and maintain business records. The website does not currently apply an automatic deletion schedule to these records. Server and email providers may retain their own logs or copies under their retention practices. We delete or anonymize information when it is no longer needed, subject to applicable record-keeping requirements.

Cookies and similar technology

We do not currently use this website to run advertising or analytics tracking. WordPress may use necessary cookies for authorized administrators and site functions. Google Translate may use cookies or similar storage when you use translation. You can manage cookies through your browser settings; blocking them may affect third-party features.

Your choices and requests

You may contact us to ask what personal information we hold about you, request correction or deletion, or withdraw consent where consent is the applicable basis for processing. We may need to keep some records to complete a booking or meet legal obligations, and may need to verify your identity before acting on a request. Depending on the law that applies to you, you may have additional privacy rights.

Security and links

We use access controls to keep booking records private in the website dashboard and take reasonable steps to protect information. No website or electronic transmission can be guaranteed completely secure. Links and embedded features provided by other companies are governed by their own privacy policies.
